Job Summary:
This individual will be responsible for the generation of client bills (paper and e-billed) based on specific direction of the firm’s attorneys. In addition, this individual will have primary responsibility for printing and distribution of the monthly prebill run. Other duties may be assigned. This position will be 30-to-40 hours per week.
ESSENTIAL FUNCTIONS:
- Prints and distributes the monthly prebill run.
- Assist in preparing paper bills, including pre-bill corrections – makes noted hour and dollar amount adjustments, transfers, entries, enters task codes and makes any other corrections as noted by attorneys prior to the printing of client statements.
- Posts bills on daily basis.
- Reviews and unapplied monies for application to a client’s statement, discusses with appropriate secretary to billing attorneys and determines method of handling.
- Acts as contact person for attorneys and/or secretaries regarding any prebill questions or concerns regarding time entry.
- Assisting in preparing and submitting e-bills via the Firm and Client e-billing systems.
- Assists in tracking e-bills through receipt of payment. Works with attorneys and secretaries to submit budgets, appeals and other required documentation.
- Trains newly hired secretarial staff regarding monthly paper bill processes.
- Other duties as assigned.
MINIMUM QUALIFICATIONS:
- High School Diploma with minimum 5+ years related work experience in a financial environment is required.
- Associate’s Degree or equivalent from two-year college or technical school and two years experience is desired.
- Able to work off-hours as needed.
- Experience with Aderant Back Office accounting software a plus.
- Previous Law Firm experience is desirable.
MINIMUM KNOWLEDGE/SKILLS REQUIRED
- Applies functional reasoning, rational judgment and creativity to resolve problems and accomplish work assignments.
- Maintains confidentiality and exercise sound judgment.
- Demonstrates great attention to detail.
- Prepare and organize data for professional reports using various resources, software applications including Microsoft Word and Microsoft Excel.
- Portray professional manner and appearance consistent with Firm’s image.
- Demonstrates ability to communicate in a proficient, tactful, and confident manner.
- Must be honest, have a high degree of integrity and be a team player.
- Must effectively present information and respond to questions from attorneys and secretarial/support staff.
- Competently operates office equipment including computer, fax, scanner, calculator, copier, and telephone system.
- Ability to read, write and perform basic math functions.
- Independent worker, ability to prioritize and complete multiple tasks in a timely manner.
