Legal Operations Support

Location: Des Moines Job Type: Full-Time Date Posted: 5/2/2025 Career Category: Professionals & Staff Summary: We are seeking a detail-oriented and dependable Legal Operations Support professional to assist our Records and Administrative Services Departments.

This role will support the Records Department by assisting with document review and digitization projects. This involves reviewing archived physical documents, identifying those that must be retained per our records-retention policy, and scanning them for digital storage. This role will also support the Administrative Services Department. This involves a rotation between time at the reception desk and other administrative tasks.

 

The ideal candidate is highly organized, able to work independently and as part of a team, and familiar with basic scanning and filing processes.

 

Key Responsibilities:

 

Document Review & Digitalization:

  • Review physical boxes of archived documents for relevant materials.
  • Identify and separate documents that must be retained according to the firm’s retention policies.
  • Prepare and scan eligible documents using high-speed scanners.
  • Properly label and digitally file scanned documents within the firm’s document management system.
  • Maintain accurate records of reviewed and scanned materials.
  • Safely dispose of or prepare non-retained documents for shredding.
  • In addition to document management, this position includes a mix of clerical, logistical, and facility support tasks essential to the smooth operation of the firm.

 

Mail & Deliveries:

  • Deliver newspapers and other publications.
  • Pick up and distribute incoming and outgoing mail.
  • Handle deliveries, by foot or vehicle, ensuring timely distribution.

 

Office Supplies & Inventory:

  • Conduct supply inventory and restock items as needed.
  • Unpack and organize incoming supply orders.
  • Restock office supplies in service areas, break rooms, and conference rooms.

 

Kitchen & Lounge Maintenance:

  • Unload clean dishes and place them in designated cupboards.
  • Collect dirty dishes and load them into the dishwasher.
  • Keep the attorney lounge clean and well-stocked.
  • Set up and clean up the Bar Cart for attorney events.

 

Facility & Event Support:

  • Transport recyclable items to the ground-floor recycling bins.
  • Replace toner and waste toner kits in printers; order replacements as needed.
  • Assist in setting up desks and offices for new hires.

 

Administrative Support:

  • Monitor and respond to emails directed to Administrative Services.

 

Qualifications:

  • High school diploma or equivalent; additional education or training is a plus.
  • Strong organizational skills and keen attention to detail.
  • Ability to manage multiple tasks with professionalism and a positive attitude.
  • Comfort working independently with minimal supervision.
  • Familiarity with scanning, filing, and general office operations is a plus.
  • Ability to stand for extended periods and lift up to 15 pounds as needed.
