Administrative Assistant
ESSENTIAL FUNCTIONS:
CAO Support Functions
-
- Scanning, organization and filing of meeting minutes.
- Assisting with special events coordination, planning and set-up. Responsible for initial layout and final set up of the event where applicable.
- Coordinating office and parking assignments as necessary.
- Scheduling all Attorney and Shareholder meetings.
Director of Finance and Accounting Support Functions
-
- Distribute Shareholder reports.
- Schedule Finance Committee meetings and assist in creating and distributing the agenda and related materials.
- Assist with the month-end closing and the preparation of the month-end billings, including the review of time entries.
- Preparation of monthly Accounts Receivable and Work In Process reporting for Finance Committee review.
- Assist with month-end reconciliations.
- Assists with the printing, copying, scanning, distribution, and filing of documentation for Accounts Payable, Accounts Receivable and Billing.
- Assists with other accounting tasks as assigned.
Director of Marketing Support Functions

- Assistance with non-profit donations.
- Assistance with conference RSVP’s & registration as necessary.
- Assists in maintaining the Firm’s Customer Relationship Management (“CRM”) software system.
- Assists with other Marketing tasks as assigned.
Director of Human Resources Support Functions
-
- Provides general secretarial support to the Director of Human Resources.
- Develops new hire packets, folder creation, orientation and all new hire related paperwork.
- Provides administrative support, scanning and filing to Director of Human Resources on personnel files.
- Compiles Staff & Associate evaluations.
- Assists with planning and coordinating special events for and/or recognition of non-attorney staff. As well as assists with Firm-wide social functions,
Miscellaneous
-
- Facilitates & schedules events as needed, including summer associate, associate and attorney meetings.
- Arranges summer associate meetings, projects, project e-mails, evaluations.
- Supports the Wellness Committee, Diversity & Inclusion Committee and the Recruiting Committee.
- Third support back up on reception phones.
Other duties as assigned.
MINIMUM QUALIFICATIONS:
- Associate with minimum two years executive administrative experience.
- Have a high degree of integrity and possess ability to retain utmost confidentiality of information.
- Demonstrates ability to communicate in a proficient, tactful, and confident manner with external clients and internal customers. Must be a positive team player role model.
- Competently operates office equipment; computer, calculator, copier, scanner, and telephone system.
- Proficient in the use of Microsoft Word and Excel. Quick learner in other Software programs.
- Ability to effectively present information and respond to questions from attorneys and secretarial/support staff.
- Independent worker, ability to complete multiple tasks in a timely manner.
